Booking Terms

1. Bookings

After submitting a booking via our website or by email, we will generally confirm your tour or contact you within 24 hours. During high travel season (May to October), response times may be longer due to increased demand. If you have not received a response, or if your booking is made less than 24 hours before the scheduled tour, please contact us by phone at +372 5690 7401 during office hours to confirm availability.

Our office hours are:
• From May to October 9:00 a.m. to 7:00 p.m. (GMT+2), daily
• From November to April 9:00 a.m. to 6:00 p.m. (GMT+2), daily


2. Payments

Full pre-payment is required for tours unless expressly stated otherwise at the time of booking. Payment may be made through our website with credit card or via PayPal. Upon request, we can issue an invoice by email. We do not accept cash payments.

For group bookings, any deposits or pre-payments made are applied to the booking as confirmed. If one or more participants fail to attend, cancel, or reduce the group size, the corresponding deposits and payments are non-refundable.


3. Cancellations and Refunds

You may cancel a confirmed booking at any time prior to the scheduled start of the tour by providing notice to the Company.

Cancellations made more than forty-eight (48) hours before the scheduled start of the tour will receive a full refund, less any non-refundable third-party payment processing fees as described below.

Cancellations made less than forty-eight (48) hours before the scheduled start of the tour, as well as failure to attend the tour (“no-show”), are non-refundable.

3.1 Force majeure

If a tour cannot take place due to an event of force majeure, the Company shall not be liable for any damages, losses, or compensation. Instead, the Company will issue a travel credit equal to the value of the original booking. This credit will be valid for twenty-four (24) months from the date of issue.

For the purposes of these terms, “force majeure” means any event beyond the reasonable control of the Company which could not, even with due care, have been foreseen or avoided, including but not limited to: war (declared or undeclared), civil unrest, riot, terrorism, border or transport closures, industrial disputes, natural or nuclear disasters, fire, severe weather conditions, epidemics or pandemics, and similar events outside the Company’s control.

3.2 Payment Processing Fees

Please note that third-party payment processing fees charged by payment providers (currently approximately 1.5–3% for credit card payments and up to 5.9% for PayPal) are non-refundable and will be deducted from any refund issued.

4. Changes to Bookings

We will use reasonable efforts to accommodate requests for changes to bookings requested at least forty-eight (48) hours prior to the scheduled start of the tour.

For group bookings, the booking party remains responsible for the full booking as confirmed. If one or more group members fail to attend, cancel, or reduce the group size on short notice, the booking party agrees to compensate the Company for any costs incurred as a result, including but not limited to vehicle hire, staffing, permits, or other pre-arranged services.


5. Baggage

Our baggage policy is designed to offer all our travelers the convenience and flexibility to travel with a reasonable amount of luggage. To ensure that each of our guests has fair access to luggage space, we provide the following luggage allowance per passenger:

  • One item of airline carry-on size: maximum size of 55 x 40 x 23cm (22 x 14 x 9in)
  • One item of airline checked size: maximum size of 80 x 50 x 30cm (32 x 20 x 12in), weighing less than 23 kg (50lbs)
  • One personal item: maximum size of 15 x 15 x 10 cm (6 x 6 x 4in)

    Passengers on Open Group tours are expected to abide by these restrictions.  Exceeding these allowances on the day of travel may result in your luggage being denied aboard our vehicle.

    For Private Group tours, luggage allowance depends on overall vehicle capacity

    If your luggage requires special consideration, please contact us as soon as possible.

    6. Personal Belongings and Lost Items

    You are responsible for your personal belongings at all times during the tour. We recommend keeping valuables (such as passports, wallets, and electronic devices) secure and within your possession.

    Sidetrip is not responsible for any items that are lost, stolen, or damaged during the tour.

    If you believe you have left an item behind, you should notify the tour guide or contact us as soon as reasonably possible. While we will assist in locating lost items, we cannot guarantee their recovery.

    Any items found may be retained for up to 30 days and, if unclaimed, may be disposed of or donated. We may charge a reasonable fee to cover handling, storage, or shipping costs associated with returning lost items.


    7. Itinerary and Stop Changes

    The tour itinerary and listed stops describe the planned and intended route of the tour. Sidetrip makes every reasonable effort to follow the published itinerary.

    However, Sidetrip reserves the right to modify the itinerary, sequence, timing, or specific stops before or during the tour when reasonably necessary due to circumstances beyond our control, including but not limited to:
    • Adverse weather or natural conditions;
    • Road closures, traffic restrictions, or transport disruptions;
    • Temporary or permanent closure of venues or attractions;
    • Safety, security, or regulatory concerns;
    •  Operational or logistical issues involving third-party providers.

    Any such changes will be made in good faith and with the aim of preserving the overall character and value of the tour. Sidetrip is not liable for additional costs or losses arising from such changes. Where reasonably practicable, we will inform you of material changes in advance.

    8. Disclaimer and Assumption of Risk

    8.1 Assumption of Risk

    Our tours involve outdoor activities and travel in public and natural environments, which may include inherent risks related to terrain, weather, physical activity, and interaction with the public and the environment. While our guides will make reasonable efforts to point out potential hazards and promote safe conduct, you acknowledge and agree that participation in any tour is undertaken voluntarily and entirely at your own risk.

    You accept full responsibility for your own safety and conduct during the tour and agree to act in a manner that is reasonably prudent and in accordance with any instructions given by the guide.

    8.2 No Insurance Included

    Unless explicitly stated otherwise in writing, no personal accident, health, travel, or liability insurance is included in the tour price. You are solely responsible for obtaining any insurance coverage you deem necessary.

    8.3 Release of Liability

    To the maximum extent permitted by applicable law, you agree to release and hold harmless the Company, its directors, employees, contractors, guides, and agents from any and all claims, demands, losses, damages, injuries, or liabilities arising out of or in connection with your participation in the tour, except where such damage is caused by the Company’s gross negligence or willful misconduct.

    8.4 Right of Exclusion

    We reserve the right to refuse participation or remove any participant from a tour, without refund, if in our reasonable judgment the participant:

    • appears to be intoxicated or under the influence of alcohol or drugs,
    • behaves in a disruptive, offensive, abusive, or unsafe manner, or
    • otherwise interferes with the safety, comfort, or enjoyment of other participants or the guide.

    9. Damage to Property

    You are responsible for any damage to Company property, third-party property, or equipment caused by your intentional or negligent actions, misuse, or failure to follow instructions. You agree to reimburse the Company for the reasonable costs of repair or replacement resulting from such damage.


    10. Corporate Bookings

    Sidetrip OÜ is incorporated in Estonia and is subject to 22% value added tax (VAT). By Estonian tax laws, international passenger transport, such as Berlin to Prague and Prague to Vienna tours are exempt from VAT and sold with 0% VAT. VAT is only included in the price of tours that stay within the borders of one country. If you need an invoice showing VAT, it can be easily issued by our office staff and sent via e-mail.


    11. User Reviews, Testimonials, and Photos

    If you submit a review, testimonial, rating, or image in connection with a review or testimonial on our website, you grant Sidetrip a non-exclusive, royalty-free, worldwide license to use, reproduce, publish, display, adapt, and distribute that material, in whole or in part, for marketing and promotional purposes, including on our website, social media, advertising, and other communications.
